09. Estimates [6:24]

Description: This video provides an overview of the Estimates tab in the Core4 CRM.

Let’s take a closer look at Estimates in the Core4. The Estimates tab will look like this. Here you can create, track, and manage your Estimates relating to your company’s unique quoting process. I currently have 2 Estimates in my Core as indicated in the Status Toolbar.

0:33 Let’s begin by creating a new Estimate. Select the New Record icon in the Status Toolbar. To add a Customer, simply begin typing a name, and a contact search window will open. Brady’s Billing Address will populate here. Next we can enter a Shipping Address which may be different than the Billing Address. Then let’s add a Title. Stages are setup in the Core Preferences area. Classes are also setup in the Preferences area. To assign a Sales Rep start typing a name and a contact search window will open. You may add a new line item by clicking into the field, or selecting this “New Line Item” button. I’ll put a quantity of 20. You may change the unit price if needed. You can also enter a Markup. A Markup can be a percentage or a dollar amount. If we enter a percentage it will auto-calculate the Markup for us and add it to the total.

1:57 Let’s add another line item. You may indicate if each line item is taxable with this checkbox. The tax is going to be applied to the item depending on the tax rate you have associated to the Estimate. Down below we can specify the tax rate. All tax rates are set up in the Core Preferences. Here we have the Subtotal, Tax amount, and Grand Total for the Estimate. You have the option to add a Memo here.

2:42 To the left we have our action items for the Estimate. Select the Duplicate button to duplicate the Estimate. Once you select that button you will have the option to create an Estimate from a New Series or create a Revision. We can see that the Estimate number is currently 1003. First let’s create a New Series. When the New Series button is selected, a brand new Estimate with the Estimate number 1004 is created. Now let’s see what happens when we duplicate as a Revision. Here you can see the duplicated Estimate number is 1003.1. If we navigate to the More Info tab, we can see the Revision History tracking for the series. Select the blue button to view the original Estimate. Also on the More Info tab, the Title and the Estimate number are carried over. You may link an Opportunity to the Estimate here. We also have the Created and Modified By date and time stamps.

4:12 The Orders tab will display records if any orders have been associated to the Estimate. Let’s create a new order from the Estimate with this button. All relevant information is carried over in the new order created. And here is the order we have just created.

4:47 Next, let’s create an invoice from this Estimate. Again, all the relevant data is transferred over into the new Invoice. The last option is to send the Estimate as an email. This is going to generate a new email and attach the Estimate as a PDF. You may preview the Estimate by selecting this icon.
