In this video we’re going to take a look at working with Outlook Email. First let’s look at how we pull email from Outlook into FileMaker.
0:23 So I’ve opened the demo file, and I’ve already registered the plug-in. Next I’m going to Authenticate to Outlook. Here we will specify which Outlook root folder to communicate with. I will select this “Productivecomputing” Exchange account. So after we Authenticate to Outlook let’s navigate to the Mail tab. Here I have the “Active Mail Folder” drop-down list. This is where you will specify which Outlook folder to pull mail from. In the demo the Inbox is the default folder. Let’s pull emails from the Inbox. Next, select the “Clean Import from Outlook” button. You’ll be prompted if you would like to save your attachments. Choosing “Save” will save all email attachments to your Temporary directory which will then be imported into the database. Choosing “Don’t Save” will bypass saving the files, and will import your email without saving attachments. Let’s go ahead and select “Save.” As you can see, here are all the email messages from the Outlook inbox which have been imported. Let’s click on a specific record to view details. So here we have our Outlook ID, as well as the date and time the email was Received, and when it was last Modified. Additional fields pulled include To and From, the Subject and Body, the Header, and down below is where you can see the email Attachments. You can open the attached file by simply double-clicking on the Item. From this window we can also display our record in Outlook.
2:26 You also have the option to save this email message as a .EML file. You would simply click on this “Save as .EML” button, and the email message will be saved directly to your desktop (and here it is). Let’s say you wanted to delete one of these email records in Outlook. You would simply click on a record’s Detail View, and click on the “Delete in Outlook” button. This permanently deleted this record in Outlook for you. If we navigate over to Outlook we can see that the message is no longer there.
3:29 Now let’s take a look at Moving mail. Let’s say you wanted to move this email message to a different folder. You would simply navigate to the “Move Mail” tab from a record’s detail view. Here I can see the Current Folder is contained. To move the email simply click the Destination Folder drop-down list, and specify which folder you would like this email moved to. Then select the “Move Email” button. Let’s navigate to Outlook, and there is the email that we have moved to Folder 2. Please be aware that if you are using an IMAP account such as Gmail or Yahoo, this plug-in will only allow one single push of a message to a different folder. 4:29 Now let’s take a look at how to Push or Send mail from FileMaker to Outlook. From the Mail tab, I’ll select the “New Mail” button. This creates a new FileMaker record to send. We have the To, CC, BCC, Subject, Body, and a place to add Attachments. So let’s set these fields now. You also have the option to set the email formatting as HTML or Plain Text using these 2 buttons. You can also Preview the email with this button over here. So let’s set the format to HTML and add an attachment. Now we’re ready to send this email. This can be done by simply clicking on the “Send Mail” button.
